We thank you again for providing us with your feedback. We take all customer feedback, positive or negative, into account as we strive to improve as a business. We have started an internal inquiry into your concerns, discussing with our General Manager, Accounting Department, and Sal about the situation. It does appear that we do owe you some money - and as part of our regular process - discrepancies are taken care of automatically. Due to some team members being away for part of the month, the processed was delayed by a week and will be handled this week. Due to this delay in processing, up to date information may have not available for members of our team. It would appear, Sal did not have firsthand knowledge of the situation prior to you coming to speak to him about the discrepancies and may have been going by the records and information that were available to him at the time. We regret that this interaction turned an otherwise positive experience into a negative one. It appears that there may have been a misunderstanding and poor communication throughout the interaction. We apologize for this and we are in discussion with our team on how to improve and better ourselves. We do not wish to make excuses for members of our team, we just want to provide yourself with as much detail about how the situation occurred so we can work to resolve the issue to your satisfaction. I have ensured that the accounting for your deal is to be processed promptly and any outstanding amounts owed will be refunded in full via a cheque sent directly to your address. If there is anything you believe can help resolve the situation further, please do not hesitate to contact us. We would also like you to understand that discrepancies occur due to procedures followed by banks and finance institutions regarding payouts. We need to ensure that we have collected enough, based on the current information available, to fully cover the existing loans balance in order to secure financing for the new loan or lease. However, banks often provide us stale or soon to be obsolete data and they also often do not stop automatic payments until the payout has successfully cleared. This can result in additional funds being collected by both the bank and the dealership. We try to avoid these situations as often as possible, however with biweekly payments, it is hard to clear all the required activity in the time given. As such, it is part of our process to verify the payout amounts once the deal has been processed, payout the exact lien and refund any discrepancies. No customer interaction is required. This is not handled by the Finance Department, this is handled by the dealerships accounting department. Your financial institute will also have a similar process in which they will process any discrepancies, however likely in a less timely manner. We appreciate your patients in this matter, and I hope we can work together to resolve this issue as I believe we can do much better than your review has painted us. We strive to serve every customer like family and address their concerns as such.
